Spreadsheets are a trusted friend for many travel businesses. They’re flexible, familiar and get the job done – until they start slowing you down. At some point, manual processes start costing time, creating errors, and stopping you from scaling.
With bookings rolling in for several hiking events, multiple price points and hundreds of customers to manage, founder Jim Young needed a better way to turn bookings into payments – without changing how he worked.
Using the Felloh integration with Zapier, we helped him automate the creation of over 100 payment links directly from his spreadsheet – removing manual effort and creating a replicable solution for the future too.
Who are Adventurous Ewe?
Based in North Wales, Adventurous Ewe was created by Jim Young to deliver small-group adventures with purpose. From tackling UK peaks to exploring Kilimanjaro, Jim’s goal has always been about doing travel differently – with sustainability, community and boldness at the core.
His passion is for experiences – not spreadsheets. And that’s where Felloh comes in: we take care of the boring bits of travel so operators like Jim can focus on the magic.
The Challenge: too many bookings, too little time
Jim was managing trip sign-ups in a Google Sheet across multiple events. Each challenge had its own price. For each new row, the team needed to:
Create a booking
Generate a payment link
Add the link back into the sheet
Send the link to the customer
As numbers grew, so did the admin. Manually managing over 100 payment requests was clearly unsustainable.
The Solution: automation without overhaul
Rather than introduce new software, we simply connected the tools Jim already used.
Using Zapier, we set up a smart automation that:
Runs every hour to check for new spreadsheet rows
Loops through each new booking one by one
Uses Felloh to create a booking
Generates a unique payment link
Pastes the link back into the spreadsheet
Once set up was complete, Jim had over 100 payment links automatically generated and ready to share.

Tips for automating travel payments with Zapier + Felloh
If you’re looking to replicate this kind of setup, here’s what you need to know:
1. Felloh Uses GBX (Pence), Not GBP
All amounts should be passed to Felloh in pence, not pounds:
£350.00 → 35000
£99.99 → 9999
You can use a formula in your spreadsheet (e.g. =C2*100) or a Formatter step in Zapier.
2. Handle Multiple Price Points with Ease
Include a “Trip Type” or “Price” column in your spreadsheet to reflect different products or tiers. Zapier can then use this to populate the correct amount in Felloh.
3. Avoid Zapier Rate Limits
To keep things running smoothly:
Use Looping by Zapier to process one row at a time
Filter for only rows that don’t already have a payment link
Run your automation every hour (not instantly)
4. Add a Status Column
Mark each row as Link Created, Email Sent, or similar to prevent duplicates or unnecessary retries.
